Background of the Study
Effective management of staff leave is crucial for maintaining institutional productivity and ensuring smooth academic operations. At Niger State Polytechnic, Zungeru, Wushishi LGA, the development of an automated staff leave management system is proposed to replace cumbersome manual processes. Traditionally, leave applications are processed through paper-based forms, resulting in delays, data inaccuracies, and administrative inefficiencies. The automated system leverages web-based technologies to facilitate online leave submission, approval, and tracking, streamlining the entire process (Okafor, 2023; Chinwe, 2024). By integrating with the institution’s human resource information system (HRIS), the platform provides real-time updates on leave balances and approval statuses, enhancing transparency and accountability. The system utilizes automated workflows to route applications to the appropriate supervisors and generate alerts for pending approvals. Additionally, it incorporates data analytics to forecast leave trends and inform staffing decisions. The digitalization of leave management not only reduces administrative overhead but also improves employee satisfaction by ensuring timely responses to leave requests. However, challenges such as system integration, data security, and user training must be addressed to ensure successful implementation. Pilot projects in similar academic institutions have demonstrated that automated leave management systems can significantly improve processing times and data accuracy. This study aims to evaluate the design, implementation, and performance of the automated staff leave management system, with the goal of providing a scalable framework that enhances operational efficiency and supports staff welfare (Adeyemi, 2023).

Statement of the Problem
Niger State Polytechnic currently faces significant challenges in managing staff leave due to reliance on manual, paper-based processes. These outdated methods lead to delayed processing, errors in leave calculations, and a lack of transparency in approval workflows. The absence of a digital system often results in miscommunication and inefficiencies that impact overall staff productivity and satisfaction. Although an automated staff leave management system offers the promise of streamlined workflows and real-time updates, its implementation is hindered by technical challenges such as integrating with existing HR databases, ensuring data privacy, and managing system scalability. Additionally, resistance from staff accustomed to traditional procedures and inadequate user training further impede the effective adoption of digital solutions. This study seeks to evaluate the feasibility and performance of an automated leave management system, comparing it with the existing manual methods and identifying critical barriers. The objective is to propose actionable strategies that enhance data accuracy, reduce processing delays, and improve overall operational efficiency in staff leave management (Okafor, 2024).

Objectives of the Study

  • To design and implement a web-based staff leave management system.

  • To evaluate the system’s efficiency, accuracy, and user satisfaction.

  • To propose strategies for seamless integration and enhanced data security.

Research Questions

  • How does the automated leave management system improve processing efficiency compared to manual methods?

  • What are the key technical challenges affecting system integration and data privacy?

  • Which strategies can enhance user training and system adoption?

Significance of the Study
This study is significant as it introduces a digital solution to optimize staff leave management at Niger State Polytechnic. By automating leave processes, the system aims to reduce administrative delays, improve data accuracy, and enhance overall employee satisfaction. The findings will provide essential insights for HR administrators and IT professionals in modernizing leave management practices (Chinwe, 2024).

Scope and Limitations of the Study
This study is limited to the development and evaluation of an automated staff leave management system at Niger State Polytechnic, Zungeru, Wushishi LGA.
